Job site photography fails in a specific way. There are hundreds of images on the phone, they are all technically fine, and none of them answer the question being asked: was that crack in the slab there before you started? The photo that would settle it either was never taken, or it exists somewhere in a camera roll with 4,000 other images and no way to find it.
What follows is a routine, not a technique. The value comes from doing the same thing every day on every job, because consistency is what turns a pile of images into a record.
The pre-existing condition walk is the most valuable hour on the job
Before any material is moved, before a single tool comes off the truck, walk the entire work area and everything you will pass through to reach it, and photograph the existing condition. This is the set that protects you from being blamed for damage you did not cause, and it is the set most often skipped because on day one nothing has gone wrong yet.
Shoot it wide-to-tight, the same way you would document a loss. A wide frame of each room or zone establishes where you are. Medium frames cover each wall, floor run, and ceiling plane. Then go tight on anything already damaged: scuffed door casings, chipped tile, a stained ceiling, a hairline crack in a slab, a dented appliance, a scratched countertop, gouged hardwood near a threshold.
Deliberately over-shoot the things that are easy to blame on a trade. In practice that means:
- Access paths. Hallways, stair treads, elevator cabs and door jambs, landscaping and driveways. Everything you will carry material across.
- Adjacent finishes. The wall on the other side of the one you are opening. Cabinets next to the demo zone.
- Existing cracks and settlement. Photograph with a scale in frame, and with enough context to locate the crack in the building.
- Anything already failing. Prior repairs, mismatched patching, corrosion, out-of-level or out-of-plumb conditions.
- Meters, panels, and shutoffs in their starting state.
Take the meter readings and shutoff photos even if they seem irrelevant. They cost seconds and they answer questions that only get asked when something has gone wrong.
Fixed positions, every single day
Pick three to six camera positions per work area on day one and mark them — a piece of tape on the floor, a note on the plan, or simply "standing in the kitchen doorway facing the sink wall." Shoot every one of those positions at the same point in the day, every day, for the life of the job.
Fixed positions do two things that ad-hoc shooting cannot. They produce genuine before-and-after pairs, because the framing actually matches. And they create a continuous timeline of the space, which is what you need when the argument is about when something happened rather than whether it did. A sequence of identical frames where a condition appears on a specific day is far more persuasive than a single photo of the condition.
Do it at the same time each day — most crews find end of day works best, because the space is in its cleaned-up state and the day's progress is complete. Shoot it before the crew leaves, not from memory the next morning.

This is the category with the highest consequence and the shortest window. Once drywall goes up, once the slab is poured, once the finish floor is down, the work underneath is invisible and re-exposing it costs real money. Everything that gets buried should be photographed before it is buried, without exception.
The list depends on the trade, but the recurring items are:
- Rough-in. Plumbing runs, supply and waste, electrical home runs and box locations, low-voltage, HVAC ducts and dampers. Shoot each wall as a complete run, not just the connection points, so someone can later locate a pipe behind finished drywall.
- Waterproofing and flashing. Membrane laps, corners, curbs, penetrations, pan liners, through-wall flashing, and any transition where two systems meet. Water intrusion disputes almost always come down to a detail at a transition.
- Substrate and prep. Subfloor condition and fastening, backer board seams, moisture barriers, self-leveler, primer coverage.
- Structural and connections. Hangers, straps, anchors, blocking, bearing points, and anything an inspector signed off on.
- Insulation and air sealing before the drywall closes it in.
For rough-in in particular, shoot with a tape measure in frame referencing a fixed edge — a corner, a door opening, the floor. A photo of a pipe in a wall cavity tells the next person the pipe exists; a photo of the same pipe with a tape reading off the corner tells them where to cut. That is a genuinely useful deliverable, not just a defensive one.
Change orders and delays
The two things that cost contractors money on paper are unpriced changes and unattributed delays, and both are documentation problems before they are contract problems.
For changes: photograph the condition that triggered the change before you touch it. Rotted framing behind a wall, undersized existing wiring, a slab out of tolerance, an obstruction not on the drawings. Then photograph the corrective work. A change order backed by a photo of the discovered condition is a different conversation than one backed by a line item.
For delays: photograph the blocking condition on the day it blocks you, from a fixed position, and keep photographing it each day it persists. Material not delivered, a preceding trade's work incomplete, weather, site access, an inspection not scheduled. Shoot the empty staging area, the unfinished predecessor work, the standing water. A dated series showing the same unresolved condition across five days is the evidence for a schedule claim; a recollection is not.
Naming and filing so it is findable in a year
A camera roll is not a record. If retrieving a photo requires scrolling by date, you will not do it under pressure, and neither will anyone reviewing the file.
Use one folder per job, and inside it, folders by date. That is the backbone, because date is the one attribute every photo has and the one every dispute turns on. Within each date, group by area or phase. A workable structure looks like:

Numbered prefixes on the special folders keep pre-existing and closeout pinned at the top and bottom of an alphabetical listing, which is where you want them. Use ISO dates (YYYY-MM-DD) so folders sort chronologically without any extra effort.
Two habits make the whole thing work. First, offload and file at the end of each day or at worst each week — a backlog of three months never gets sorted. Second, when a photo documents something specific and consequential, rename that file to say so: 2026-07-14-3B-shower-pan-liner-corner-lap.jpg. You do not need to rename everything. You need to rename the twenty photos per job that someone will eventually go looking for.

Photos that exist only on the phone in your pocket are one drop away from gone. Sync to cloud storage automatically, and keep a second copy somewhere that is not the same account. This is not optional on jobs where the documentation is the only thing standing between you and a claim.
It is also worth being clear-eyed about what a file's own date proves. The EXIF timestamp on a phone photo is written from the device clock, which the device owner can change, and re-saving, editing, or sending an image through a messaging app frequently strips or rewrites that metadata. Anyone reviewing your documentation adversarially knows this. Send originals rather than screenshots, avoid routing evidence photos through chat apps that recompress them, and where the date genuinely carries weight — a delay claim, a pre-existing condition dispute — capture with cryptographic provenance attached at the moment of capture, which is verifiable afterward rather than merely asserted.
