Handing a vehicle to a transport carrier, a rental counter, a body shop, or a buyer creates the same exposure: for some period someone else controls the vehicle, and afterward there is a claim about damage with no agreed record of the condition beforehand. The counter is boring and effective. Shoot the same sequence, the same way, every time, and shoot it at both ends of the handover. Most people manage half of that — they photograph the pickup and forget the return, and a one-sided record settles nothing, because it cannot show that a scratch appeared in between.
Set the conditions before you shoot
Two variables decide whether panel damage is visible at all, and both are under your control.
Wash the vehicle, or at least rinse it. Dirt, road film, and dust hide exactly what you are documenting: fine scratches, swirl marks, small dents, paint chips, curb rash. A dirty car photographs as "no visible damage," which sounds harmless until it comes back and someone points at a scratch you cannot prove was already there. It cuts the other way too — on a return, a clean vehicle makes it much harder for anyone to claim damage that is actually grime. Rinse at minimum and dry it if you can; water beads and drip trails read as marks in photos.
Find even light. Direct midday sun creates hard specular highlights that blow out whole panels and hide dents in glare. Deep shade or a dark garage gives you nothing to work with, because paint defects are revealed by reflections rather than by illumination. The best conditions are bright overcast, open shade under a bright sky, or the hour after sunrise and before sunset. A covered but open structure — a carport, a parking deck edge, a fuel canopy — works well. If you are stuck in harsh sun, put the sun behind you and slightly to one side, and take a second pass at a shallow angle along each panel.
The angle that reveals dents
This is the single most useful piece of technique in the whole process. Do not photograph panels head-on. A perpendicular shot of a door shows you its color; it shows you almost nothing about its shape.
Instead, crouch or stand so you are looking along the panel at a shallow angle, with a source of even light — the sky, a building, a row of overhead fixtures — reflecting off it toward you. Now you are photographing the reflection, and any deviation in the surface bends that reflection visibly. A dent invisible head-on shows up as a warp in a straight reflected line. Body shops assess panels this way for exactly this reason. You get the best result when something with straight edges is in the reflection — a building line, a light fixture run, the horizon. Watch the reflected line as you move; where it kinks, there is a dent, and that is where you stand.

Do it in the same order every time. Order matters less than consistency, but a fixed order means you stop having to think about whether you missed something, and it produces sets that are directly comparable between handover and return.
1. The establishing shot
One wide frame showing the whole vehicle and enough surroundings to identify the location. Then a legible photo of the license plate and the VIN — through the windshield at the base of the driver's side, and on the door jamb sticker. This ties every subsequent photo to this specific vehicle. Without it, a close-up of a scratched bumper is unattributable.
2. The four corners
Stand at each corner, far enough back to get two sides of the vehicle in one frame. Four photos, and between them every exterior surface appears at an oblique angle. These are the frames a carrier or adjuster looks at first.
3. Each panel, individually
Work around systematically: front bumper and fascia, hood, each fender, each door, rockers, quarter panels, rear bumper, tailgate or trunk — each at the shallow reflective angle described above. Include mirrors, handles, and badges; small trim pieces go missing and nobody photographs them.
4. Roof and upper surfaces
Routinely skipped, and a common source of surprise damage from low-clearance structures, tie-downs, wash equipment, and hail. If you cannot see the roof, hold the phone overhead or stand on a curb. Include sunroof glass, roof rails, and the antenna.
5. Wheels, lower edges, glass, and lights
One photo per wheel, straight on, close enough to see curb rash on the rim lip and the sidewall; show the tread, which protects you against a wear claim. Then the rockers and lower valances, and for trailer transport the front air dam and the lowest point of the bumper, because that is what scrapes on ramps. Windshield, side and rear glass, headlights, taillights: chips and stars show best backlit, so shoot from inside toward the sky. A pre-existing chip that spreads into a crack during transport is a routine dispute, and the only defense is a photograph of the chip.
6. Undercarriage and interior
For enclosed transport or a high-value vehicle, a few shots along the underside from front and rear are worth the effort — exhaust, skid plates, and suspension take damage on ramps and are never inspected at handover. Inside, shoot wide from each open door showing seats, carpets, and headliner, then the dash, console, cargo area with the floor lifted, and any screens. Photograph anything already stained, torn, burned, or scuffed, plus any aftermarket items or property left in the vehicle — claims about missing items are common.
Shoot existing damage deliberately
Do not rely on the walkaround to have incidentally captured a defect. Anything already damaged gets three dedicated frames:
- A locating frame far enough back to show which panel it is on and where, including a fixed feature — a handle, a badge, a wheel arch.
- A medium frame containing the full extent of the mark inside the frame edges.
- A tight frame with something for scale. A coin works; a small ruler works better and looks deliberate. Phone cameras distort scale badly at close range, so a two-inch scratch and a ten-inch scratch photograph almost identically without a reference.
Being thorough about existing damage feels like it works against you. It does the opposite: every defect you document is one that cannot later be charged to you, and a set that clearly shows pre-existing wear reads as honest rather than defensive. The odometer and fuel shot
If you take nothing else from this guide: with the vehicle running and the dash fully illuminated, take one photograph containing the odometer reading and the fuel or charge level in the same frame. That single image resolves the two most common non-damage charges — mileage overage and refueling fees — faster than any argument, because both numbers sit on the same screen at the same moment and there is nothing to reconcile. Two separate photos of two separate gauges invite the response that they were taken at different times.
While the dash is lit, take a second photo of the full instrument cluster including any warning lights. A vehicle that arrives with a check engine or TPMS warning is a dispute; a photo showing the same light illuminated at handover ends it. Catch the service-due indicator and any message on the center display in the same pass. For an electric vehicle, capture state of charge and estimated range alongside the odometer, and photograph the charge port and cable if one goes with the vehicle.

A handover set with no matching return set proves the condition on one day. It does not prove anything changed, which is the actual question. So repeat the full sequence at return or delivery, from the same positions, in the same order, before you sign anything and before you walk away. For a rental that means shooting in the return lane, not after you have dropped the keys and gone into the terminal. For a shipped vehicle it means shooting on the trailer or at the curb before the carrier drives off — the bill of lading condition report is signed at that moment and is very hard to amend afterward.
Read the condition report the carrier or agent prepared and compare it to what you photographed. If an existing mark is not noted on their form, add it in writing before signing, then photograph the completed signed form — including the page listing pre-existing damage — so you hold their record and yours.
What the timestamp does and does not prove
People assume the date on a photo file settles the question. It frequently does not. The EXIF timestamp is written from the device clock, which the device owner can change, and re-saving, editing, or sending an image through a messaging app often strips or rewrites that metadata entirely. A screenshot carries the date of the screenshot, not of the photo. So send originals as full-size attachments, keep the originals rather than only the copies you sent, and back the set up immediately.
